Free School Fee Structure Calculator — Annual & Per-Term Totals

A school fee structure calculator helps administrators and parents compute total school fees by adding all components — tuition, transport, hostel, books, uniform, activity fees, and one-time admission charges — for different student categories (day scholars, boarders, new vs returning). This tool builds the structure and computes per-term and annual totals.

Features

Everything you need in one School Fee Structure Calculator

Build any fee structure

Add unlimited components — tuition, transport, hostel, meals, books, uniform, activities — so the structure matches your school exactly.

Per-term and annual totals

Splits recurring fees across the terms you set and totals everything into a clear annual figure, the way a real fee schedule reads.

One-time admission charges

Handles registration, admission, and security-deposit charges separately, then folds them into the first-term payment.

Scholarship & sibling discounts

Apply a percentage or fixed discount to model scholarships, staff concessions, or sibling discounts on the recurring fee.

Troubleshooting

How to fix common syntax errors

Most “invalid JSON” failures come from a small set of mistakes. Paste the failing JSON above, click Validate, and the tool points you at the exact line and column.

Double-counting annual fees by adding them per-term and as an annual lineTransport fee: $200/term AND $600/year both entered

Each fee component should appear once with a single frequency — either per-term or annual, not both. Entering the same fee at two frequencies inflates the annual total by 2×. Mark transport as per-term at $200 and the calculator multiplies by the number of terms automatically.

Including refundable security deposit in the recurring annual costAnnual cost = tuition + activities + $500 deposit (refundable)

Security deposits are refundable at departure — they are not a real annual cost. Mark them as one-time enrollment charges. Including them in the recurring total overstates annual fees and misleads parents comparing schools.

Using per-student one-time fees when estimating annual school revenueAnnual revenue = students × (tuition + $1,000 admission fee)

Admission fees only apply to new students, not the entire enrollment. For revenue estimation, apply one-time fees only to expected new-enrollment headcount, not total student count.

Not pro-rating fees for mid-year or mid-term admissionsFull annual fee charged to student joining in term 2

Charge only for the terms remaining in the year. A student joining at the start of term 2 in a 3-term year owes 2/3 of annual recurring fees, not the full amount. One-time enrollment charges still apply in full.

Forgetting applicable taxes on fees in taxable jurisdictionsFee schedule published without GST/VAT line item

In some jurisdictions (India GST on coaching/private tuition, certain EU VAT rules), school fees may attract indirect tax above the stated amount. Check local tax authority guidance and add a separate tax line if applicable before publishing the fee circular.

Mixing per-student and whole-class costs when building the structureLab fee entered as $5,000 (total lab cost) instead of $50/student

Every amount must be the per-student charge, not a shared cost. Divide shared costs (lab equipment, sports facilities, library acquisitions) by the expected number of students before entering them as a fee component.
